Children's Privacy Notice (COPPA)

This notice explains how Student Wellness Solutions ("SWS", "we") handles information about children under 13, as required by the Children's Online Privacy Protection Act (COPPA) and the FTC's COPPA Rule. It adds to our Privacy Policy.

When children under 13 can use SWS
Children under 13 cannot create their own accounts. A child under 13 can have an account only when a parent or legal guardian creates it and gives us verified consent first. This happens in one of two ways:
- Family Plan: a parent buys a Family Plan, signs our consent right after paying (the card payment is how we verify the parent), and then adds their own children with a first name or nickname and a PIN. Children sign in on devices the parent sets up.
- A program's parent link (only if a school or program has turned it on): the parent verifies with a one-time card charge, signs the consent, and creates the child's login with a first name or nickname, a PIN and a password. Children sign in on devices the parent sets up, or with their username and password.
Before that consent we collect nothing from a child except the cookies the site needs to work (for example, to remember the answer to the age question).
What we collect from children
- A username we assign, a first name or nickname the parent chooses, a 4-digit PIN the parent chooses, and a password (always for a program account; on a Family Plan only if the parent turns it on). Passwords and PINs are stored scrambled so we cannot read them; on a Family Plan the PIN is also kept encrypted so that we can repeat it in the parent's email. No email address, phone number, photo or home address, and never a full birth date.
- A Student ID (a code with no name in it).
- Lesson progress, quiz answers and scores, completion dates and certificates earned.
- Technical information needed to run the site securely (for example, IP address and browser type in security logs), and a cookie that recognizes devices the child has used before.
Children cannot post public content on SWS, and we ask for no more information than the lessons need.
How we use it
Only to provide the lessons, keep the site secure, and show the child's progress: to the parent on a Family Plan (including quiz answers), or by Student ID to the leaders of the child's program. We do not show advertising, do not use targeted advertising or behavioral tracking, and never sell or rent children's information. The IP address, cookies and device recognition are used only for these internal operations of the site, never for advertising or to build a profile.
Who we share it with
- Family Plan: only the parent sees their children's information. It is never shown to schools, teachers or other families.
- Program accounts: the child's program leaders see the Student ID and progress, not the child's name or nickname.
- Service providers who run the site for us (hosting, lesson video, email delivery, payment processing), under written obligations to keep it confidential and secure: Pressable (hosting), Vimeo (lesson videos, with do-not-track on), Stripe (payments), Proton / MailPoet (email).
- Anyone else only if the law requires it.
Parents' rights
At any time a parent can:
- review the information we hold about their child,
- change the child's password or PIN,
- see the devices their child has used, and choose to be told about or approve new ones (depending on the program's setting),
- refuse further collection by revoking consent, which deletes the child's account and learning records.
On a Family Plan, do all of this from your Family page. Otherwise, use the private parent-page link in your consent email, or request a new link. You can also contact us at the details above. A parent may consent to our collection and use without consenting to any other sharing.
How long we keep it
We keep a child's information only as long as reasonably necessary for the purpose it was collected for, and never indefinitely. This is our written data retention policy for children's information:

Schools
If the child's program is a school, SWS handles the child's records as the school's "school official" under the School Data Privacy Addendum the school signs with us. See our FERPA Statement.
Co-viewing without an account
If an adult shows SWS lessons to a child from the adult's own account ("co-viewing"), the child does not have an account and we collect no information from the child.
Changes
If we make a material change to how we collect, use or share children's information, we will ask parents for new consent before the change applies to their child.
